What gets in the way for a dentist, physio or osteopath
Confidentiality covers the visit itself
Thanking “our patient”, mentioning a session, a crown or rehab in a public reply confirms that someone came to the practice. That alone is confidential information.
Regulated communication
In France, the codes of ethics of dentists and physiotherapists prohibit patient testimonials in their communication and any attempt to appear first online. In the UK, check your regulator’s guidance (GDC, HCPC or GOsC). Osteopaths in France have no professional order, but the same discretion about patients applies.
Emotional reviews
Pain, fear of the dentist, waiting room delays, an unanswered phone, unexpected fees: a clumsy reply can quickly become a row.
An incomplete Google listing
Reception hours, floor, wheelchair access, parking, how to book: many negative reviews are about organisation, not care.
How it works with Voxtya
- Write your rules once. For example: “never confirm that someone is a patient, never mention care, treatment or diagnosis, invite them to contact the practice”. Every draft follows them; you can also list words to avoid.
- A careful draft for each review. The AI drafts a general, calm reply, signed “The practice team” or with the practitioner’s name, in the language of the review. It never mirrors the tone of an aggressive review.
- You publish after reading. Once your Google profile is linked (1 minute), you read, adjust if needed and publish the reply on Google in one click. An automatic mode exists too; for a practice, we advise reading everything.
- An accurate Google listing. The free listing optimiser shows what is missing: hours, phone, access, categories, a factual description. The aim is to inform patients, not to rank above other practices.
- No incentives. For a practice, this page recommends no prize wheel, no gift and no “leave us a review” email campaign. Patients who want to write a review do so on their own.
In practice
| Review | Careful reply | Avoid |
|---|---|---|
| “Great physio, my back is much better” | Thank them in general terms, without mentioning care | “Glad your sessions for your lower back pain worked” |
| “An hour in the waiting room” | Acknowledge that waiting is hard, talk about organisation, invite them to call reception | Blaming an emergency or another patient |
| “Unexpected extra fees” | Say where fees are displayed, offer to talk by phone | Detailing the treatment this person received |
| Abusive review or one targeting a staff member | A short, neutral reply, then report it to Google if it breaks its rules | Replying in the same tone or disputing an appointment |
Doctors, pharmacies, other practitioners
This page is for dental, physiotherapy and osteopathy practices. For a medical practice (GP or specialist), read Google reviews software for medical clinics. The rules for each profession are detailed in the guide Google reviews for a healthcare practice.
Before any active step (poster, message, collection tool), ask your professional body or regulator: they oversee your communication.
What Voxtya is not for a practice
- Not a medical scheduling system: Voxtya has an appointment mode designed for businesses and wellness practitioners, with no patient records. If you use a medical booking system, keep it.
- Not patient record software: do not store any health information in it.
- Not a tool to “push up” your listing: Voxtya helps you reply and keep accurate information, with the free Google listing optimiser; that remains information.
