How to manage TripAdvisor reviews: claim, reply, report

For a restaurant, hotel or tourist activity, TripAdvisor is still a shop window that travellers read. This guide explains how to claim your listing, reply to reviews without breaking TripAdvisor’s rules, report an abusive review, get more reviews with the official tools, and when Google should come first.

How do you manage TripAdvisor reviews, in short?

Quick answer: claim your listing for free at tripadvisor.com/Owners, then manage everything from the owner area (Management Center). Reply to every review within TripAdvisor’s rules: no customer names, no promotions, no accusations of fake reviews. Report a review only when it breaks a specific rule (no visit, a competitor, an employee, an incentive). To get more reviews, use the official tools (reminder cards, flyer, Review Express emails) and never offer anything in return.

TripAdvisor works differently from Google. Its rules are more detailed, especially on owner responses and incentives, and they are strictly applied. A reply that names the customer or offers a discount can be rejected.

This guide follows the rules TripAdvisor publishes in its Trust & Safety centre, read in October 2026. Menu labels change from time to time: if a button is not exactly where described, look for the equivalent in your owner area.

How do you claim your TripAdvisor listing?

Claiming the listing means proving to TripAdvisor that you own or manage the business. It is free, as the TripAdvisor for owners page states, and you need it to reply to reviews.

  1. Create a TripAdvisor account (or sign in) with a business email address that the team can take over if you leave.
  2. Go to tripadvisor.com/Owners, search for your business by name and town, and choose to claim the listing.
  3. Follow the verification steps offered to prove your connection to the business.
  4. If your business is not on TripAdvisor yet, request a new listing from the same page.

Once claimed, complete the listing: opening hours, contact details, description, recent photos. TripAdvisor also gives you performance statistics. Keep everything consistent with your Google Business Profile and website: a customer who sees two different sets of hours no longer knows which to trust.

If several people manage the listing (a partner, a front-of-house manager), agree on who replies so the tone stays consistent.

What rules does TripAdvisor set for reviews?

TripAdvisor’s review guidelines are stricter than Google’s on several points. The main ones:

  • A first-hand experience: the review must describe a real experience and be submitted within one year of it.
  • One review per experience: the same customer can post a new review of the same business after one month for a restaurant, or three months for accommodation, an attraction or a tour.
  • No insider reviews: owners, current or former employees and volunteers, and their relatives and friends, cannot review the business.
  • No competitor reviews: anyone who owns or works at a business in the same category, in the same town or within 16 km (10 miles), cannot review yours.
  • No incentives: nothing may be offered or promised in exchange for a review, even an honest one. TripAdvisor gives discounts, free drinks and contest entries as examples. Offering something to get a review removed is also banned.
  • No help with writing: staff must not write the review for the customer, suggest wording or watch them while they write.
  • No pressure: threatening customers or withholding service until they leave a review is banned.

TripAdvisor’s general content guidelines also state that AI-generated review content is not permitted. These platform rules sit on top of consumer law, summarised in our guide to online review laws.

How do you reply to TripAdvisor reviews without being rejected?

You can reply to every review, positive or negative, from the owner area. Your reply appears under the review for everyone to read. TripAdvisor’s management response guidelines are precise, and a reply that breaks them can be rejected or removed.

What TripAdvisor rejects in a replyWhat to do instead
The customer’s name, address or phone number, or guesses about who they areStart with “Hello” and talk about the visit, not the person
Quoting private messages or snippets of other reviewsSum up the facts in your own words
Promotions, or offers of gifts, services or moneyInvite them back, with no promise of a gesture
Links unrelated to the reviewNo link, or only one that helps the reply
Threats, or accusing the reviewer of a fake reviewReply calmly and report the review separately
Messages to TripAdvisor staff or criticism of its policiesSpeak only to customers
Views on politics, religion or social issuesStick to the visit
Bullet points, formatting, unreadable machine translationA few simple, proofread sentences

When should you reply?

TripAdvisor sets no deadline, but a quick reply shows you are paying attention. A simple rhythm: check twice a week, and reply to negative reviews within 48 hours, once you have checked the facts with the team. The general method (thank, acknowledge, explain, invite) is the same as for Google: see our guide to replying to Google reviews.

Which reply templates work on TripAdvisor?

These templates follow TripAdvisor’s rules: no customer name, no promotion, no accusation. Always personalise at least one sentence with a detail from the review: the same reply under every review is easy to spot.

Reply in the reviewer’s language when you can. If you use a translation tool, proofread: TripAdvisor rejects incomprehensible machine translations, and replies written in two languages can be rejected. Our free AI review reply generator works for TripAdvisor reviews too: paste the review, check the reply, then paste it into your owner area.

How do you report a TripAdvisor review?

TripAdvisor does not let owners delete or edit reviews. You can report a review that breaks a rule. According to the FTC’s guide to reporting suspicious reviews, owners log in to the Management Center (via tripadvisor.com/Owners), open the reviews tab, choose to report a review and complete the form explaining why it should be removed.

Reasons that stand a chance

  • the person never visited, or the review is about another business;
  • the author is a competitor, a former employee or a relative of an employee;
  • the review was given in exchange for something, or is used as leverage (“I will remove it if you refund me”);
  • it contains hate speech, personal data or threats.

A harsh but genuine review will not be removed: reply to it instead. For repeated fraud, or if someone offers to sell you reviews, TripAdvisor’s guidelines give a dedicated address: contentintegrity@tripadvisor.com.

Keep records: a screenshot of the review, the date, your exchanges with TripAdvisor. For Google’s procedure, see our page on removing fake Google reviews.

How do you get more TripAdvisor reviews within the rules?

TripAdvisor offers official tools, described in its article “4 Free Tools to Remind Guests to Write Reviews” and available from the owner area:

  • reminder cards, business-card size, with your name: the first 100 are free, you only pay shipping;
  • a downloadable flyer, available in many languages, to put where customers pass;
  • Review Express, to send customers emails inviting them to leave a review, with a dashboard to follow your campaigns;
  • a widget for your website that invites visitors to start a review.

For emails, only write to customers who gave you their address and were told about such messages. Whatever the channel, the rule is the same: ask every customer, offer nothing in return, and never write or suggest the text.

The best moment to ask is the moment of satisfaction: at the end of the meal, at hotel check-out, after the tour. One simple sentence is enough: “If you had a good time, a review on TripAdvisor would really help us.”

TripAdvisor or Google: which should your business prioritise?

The two platforms do not reach the same people at the same moment. Google is used by everyone, locals and visitors, often right when they choose where to go. TripAdvisor is mostly used to plan a trip or an outing, and is organised mainly around places to stay, restaurants and things to do. The right choice depends on your customers.

BusinessPriorityWhy
Hotel, B&B, holiday letGoogle and TripAdvisor equallyTravellers compare both before booking
Restaurant in a tourist areaGoogle first, then TripAdvisorLocals use Google; tourists often check TripAdvisor
Neighbourhood restaurant, barGoogleMostly local customers; keep an eye on TripAdvisor
Activity, tour, attractionTripAdvisor and GoogleThings to do are a core part of what travellers look for on TripAdvisor
Bakery, shop, hairdresser, tradespersonGoogleThese businesses are mostly searched on Google and Maps

Either way, claim your TripAdvisor listing even if it is not your priority, so you can at least reply to a negative review. For Google, see our guide to getting more Google reviews, and for accommodation our guide to a bed and breakfast website.

As for Voxtya, the review replies service currently handles your Google reviews. TripAdvisor is not connected yet: we are waiting for the platform’s approval. Meanwhile, the free generator helps you reply to a TripAdvisor review by copy and paste.

What routine should you follow, and which mistakes should you avoid?

A fifteen-minute routine twice a week is enough for most businesses.

  • The listing is claimed, with a business email the team can access.
  • Hours, contact details and photos match on TripAdvisor, Google and your website.
  • Every new review gets a reply, with no customer name and no promotion.
  • Negative reviews are checked with the team before replying.
  • Reviews that break a rule are reported, with a dated screenshot.
  • Reminder cards or the flyer are on display, with no incentive attached.
  • Recurring complaints are noted and discussed with the team each month.

Mistakes to avoid

  • Offering a dessert or a drink for a review: banned by TripAdvisor, even for an honest review, and those reviews can be removed.
  • Asking staff or friends to post: explicitly against the rules.
  • Accusing a customer of a fake review in your reply: the reply will be rejected. Report the review separately.
  • Mentioning the customer’s name or booking details: against TripAdvisor’s rules and their privacy.
  • Pasting the same reply everywhere: readers notice.
  • Offering a goodwill gesture in the public reply: do it privately if you wish, never in the reply.
  • Ignoring TripAdvisor because “nobody uses it here”: one unanswered negative review can sit at the top of your listing for a long time.

The rules quoted in this guide come from these official pages, checked on October 17, 2026.

Does it cost anything to claim a TripAdvisor listing?
No, TripAdvisor presents claiming your listing as free, and that is enough to reply to reviews, update your details and add photos.
Can I delete a negative TripAdvisor review?
No, owners cannot delete or edit reviews. You can report a review that breaks a rule (no visit, competitor, employee, incentive, hate speech) and reply to it publicly.
Why was my reply to a review rejected?
Usually because it named the customer or included personal details, contained a commercial offer, accused the reviewer of a fake review or addressed TripAdvisor. Rewrite it in a few simple sentences about the visit.
Can I offer a free coffee or a discount for a TripAdvisor review?
No. TripAdvisor bans offering or promising anything in exchange for a review, even an honest one, including contest entries.
Can my employees review my business?
No. Under TripAdvisor’s rules, current or former employees, owners and their relatives or friends cannot review the business.
Can a customer review months after their visit?
Yes, up to one year after the experience. They can post a new review for a new visit after one month for a restaurant and three months for accommodation or an activity.
Should I reply in the reviewer’s language?
Yes, when you can. Proofread any machine translation: TripAdvisor rejects incomprehensible replies and those that mix two languages.
Should I focus on TripAdvisor or Google?
For hotels, B&Bs and tourist activities, both matter. For a neighbourhood business, Google comes first. Either way, claim your TripAdvisor listing so you can reply.
Does Voxtya manage TripAdvisor reviews?
Not yet: the review replies service currently handles Google reviews, and adding TripAdvisor depends on the platform’s approval. The free reply generator already works for a TripAdvisor review by copy and paste.
