The complete guide : How to reply to Google reviews: the method and templates to copy
Free tool: Generate a reply with AI
Why replying matters more than the review itself
An isolated 1-star review isn't dangerous. What's dangerous is a 1-star review with no reply. 89% of consumers read replies before choosing a business. A good reply can turn a 1-star review into a signal of quality: it shows that when something goes wrong, you deal with it.
Remember who you are really writing for. The unhappy customer has already made up their mind; the dozens of people who will read the exchange over the coming months have not. Your reply is a small advert for how you treat people.
The AEA structure (Acknowledge, Explain, Act)
- A — Acknowledge: acknowledge the inconvenience without denying it
- E — Explain: provide context without making excuses
- A — Act: propose a concrete resolution + invite the customer to get in touch privately

Restaurant — slow service
Hi [First name], thank you for your honest feedback, it helps us improve. You're right, service was too slow that night — we had an unexpected rush and 2 servers out. That's not an excuse, just context. I'd love to welcome you back and offer you a house aperitif. Reach me directly at [email]. — [Manager's first name]
Restaurant — cold or badly cooked dish
Hi [First name], I'm truly sorry about your experience. A cold or badly cooked dish is never acceptable, and we would have been glad to remake it straight away had we known at the table. I spoke to the kitchen team about it this morning. May I invite you back to try one of our signature dishes, with me there to look after you? Please get in touch at [email]. — Thank you for letting us know.
Hotel — noisy room
Hi [First name], our apologies for a night that didn't meet expectations. The noise came from a neighbouring construction site we hadn't been warned about. We're now equipping street-side rooms with acoustic double curtains. We'd love to offer you a free upgrade on your next stay — write to us at [email]. — [Director]
Hair salon — a haircut that missed the mark
Hi [First name], we're so sorry the cut wasn't what you had in mind. It's our job to ask the right questions before we start, and this time we clearly missed the brief. Come back whenever suits you and we'll put it right free of charge with our senior colourist. Call us on [phone]. — [First name]
Tradesperson (plumber, electrician) — quote too expensive
Hi [First name], thank you for your feedback. Our prices include a 7-day emergency call-out service, a 10-year liability guarantee on our work and quality European-brand parts, which explains the gap with budget quotes. We're transparent about every line. If you'd like to start again on a clear footing, I'm happy to offer a free appointment to walk you through each item. Email us at [email]. — [First name]
Restaurant — unfounded complaint (aggressive customer)
Hello, we take every review seriously, but we can't find any record of your visit on the date mentioned (we were closed on [day]). Perhaps there has been a mix-up with another restaurant. Please don't hesitate to contact us at [email] so we can look into it together. — The [Name] team
Bakery or café — product sold out, long queue
Hi [First name], thank you for taking the time to tell us. Finding the shelves empty after queuing is frustrating, and we're sorry. Saturday mornings have become much busier than we planned for, so we're now baking an extra batch at 10am and opening a second till at peak times. Next time, you can also call ahead on [phone] and we'll set your order aside. — [First name], [Bakery name]
Shop — return or refund refused
Hello [First name], we're sorry you left the shop disappointed. Our returns policy is displayed at the till and on our website, but we understand it wasn't explained clearly enough on the day. We'd like to look at your situation again: please bring the item and your receipt, or write to us at [email], and the manager will handle it personally. — The [Shop name] team
Hotel — long wait at check-in
Hi [First name], thank you for your feedback, and our apologies for the wait when you arrived. Several groups checked in at the same time and we didn't have enough staff at the desk, which isn't the welcome we want to give. We've changed our rota for busy arrival times. We would be delighted to welcome you back properly: just reply to [email] when you plan your next stay. — [Manager's first name]
Tradesperson — arrived late or missed the appointment
Hi [First name], you're right to point this out and I apologise. Arriving late without warning you isn't acceptable, whatever happened on the previous job. From now on, our team calls every customer if they are running more than 15 minutes behind. If you still need the work done, I'll come myself at a time that suits you. You can reach me on [phone]. — [First name], [Company]
Notice what these replies have in common: a first name, a specific detail, no arguing in public, and a clear way to continue the conversation privately. Keep them short — 60 to 100 words is the sweet spot — and adapt the wording to your own voice rather than pasting the same text under every review.
The 4 mistakes to avoid at all costs
- Long justifications — Other readers skip after 3 lines. Stay concise (60-100 words).
- Blaming the customer — Even if they're wrong, blaming them publicly costs you 10 silent future customers.
- Copy-pasting the same reply everywhere — Google and readers notice. Personalise with the first name + a specific detail.
- Waiting more than 48h — Every day of delay doubles the negative impact of the review.

Frequently asked questions
Should I reply to every review, even the 5-star ones?
Yes. Google treats responsiveness as a quality signal. A simple "Thanks for your feedback, see you soon!" is enough for 5-star reviews. For 1-2 star reviews, take more time.
Can I delete a 1-star review?
Only if it matches one of Google's 6 removal grounds (spam, insults, off-topic, conflict of interest, illegal content, personal information). See our complete guide to removing reviews.
Should I ask for the review to be removed in exchange for a goodwill gesture?
No, never publicly. Google detects this kind of exchange and can penalise your profile. Only do it privately (email, phone), and only if the customer suggests it themselves.
