How do you write a thank you message to a customer?
Independent businesses have one big advantage over chains: they know their customers. A note that shows it (“thanks for coming in with your mum on Saturday”, “thank you for ten years of Friday fish and chips”) is something no chain can send. It costs almost nothing and people remember it.
Below are 30 messages, each with a “Copy” button; replace what is in square brackets. For the bigger picture on loyalty, read our guide to customer retention for small businesses.

Can you email a thank you to all your customers?
A thank you tied to something the customer has just bought or received is part of normal service. But once the message includes an offer or invites them to buy again, it starts to look like marketing, and in the UK the ICO’s guidance on PECR applies:
- marketing emails to individuals need specific consent, for example a tick box they choose to tick;
- the “soft opt-in” lets you email your own previous customers about similar products or services, if you gave them a simple way to opt out when you collected their details and in every message;
- it does not cover people who never bought or asked about anything.
In practice: collect email addresses with a clear sentence, put an unsubscribe line at the bottom of every email, and never put several customers in visible copy. Our GDPR guide for small businesses covers the rest. In Ireland and France the rules are similar in principle; check your national regulator’s guidance.
Mistakes to avoid
- The generic thank you (“Dear valued customer…”): it moves nobody.
- The thank-you-plus-discount: “Thanks! 10% off your next order with code…”. People remember the offer, not the thanks. Send offers separately.
- The late thank you: three weeks after the job, the moment has gone.
- The conditional thank you: “leave a review and get a gift”. Against Google’s rules, and it undermines your reviews.
- Thanking everyone every week: people stop reading. Save the big group messages for the end of the year or your anniversary.
A genuine thank you naturally sets up the next step: a customer who feels appreciated is more likely to leave a review when you ask. Our review request email templates take it from there.
