Appointment booking software for massage and wellness therapists

Massage therapist, reflexologist or wellness coach, you often work alone, in long sessions, with no receptionist. Here is how to offer online booking with Voxtya, and what to keep in mind when you are not a healthcare professional.

What gets in the way for a massage or wellness practice

You cannot answer during a session

An hour-long massage happens with the phone off. Requests come in by text, Instagram message or voicemail, and get sorted out in the evening, one by one.

The first appointment takes longer

The intake conversation or first assessment often takes longer than a follow-up session. You need two separate services with two durations.

You sometimes work in two places

A treatment room in the morning, a shared space in the afternoon, home visits: your hours change from day to day.

Medical scheduling tools are not made for you

Big medical calendars are built first for regulated health professions. A wellness therapist wants a simple, fixed-price tool that does not present them as a clinician.

How it works with Voxtya

  1. Create your session types. For example “First session (1 h 30)”, “Follow-up (1 h)”, “Relaxing massage (1 h)”. Each has its own duration, price and a buffer to air the room or write up notes.
  2. Draw your real hours. For each day, one or several ranges: Tuesday 9–12 at the practice, Thursday 2–7 pm elsewhere. Mention the address in the session description if it changes.
  3. One appointment at a time. With no staff added, set simultaneous appointments to 1: you can never be double-booked on the same hour.
  4. Approve by hand if you prefer. For a first appointment, manual confirmation gives you time to talk before accepting. The client then gets the confirmation and a reminder the day before.
  5. Keep a record. Each client has a profile with past appointments and practical notes (preferences, times that suit them). Do not store health information there.

Try a booking page in appointment mode

We do not have a demo site for a wellness therapist yet. The Salon Eden Paris demo page uses exactly the same mode: pick a service, then a slot, and see how the duration blocks the calendar.

How much is online booking for a therapist?
€29 a month (€23 a month billed annually) for the Bookings service, with no commission. The free trial lasts 30 days.
Can my first appointment be longer than follow-ups?
Yes: create two session types with two durations. Clients pick the right one and the calendar blocks the matching time.
I do home visits on some days, how does that work?
Create a “home visit” session whose duration includes your travel, and open it only on those days through your time ranges.
Can I share a practice with other therapists?
Yes: add each therapist as a team member with their own sessions. Clients choose the person or “no preference”.
Is it suitable for an osteopath or physiotherapist?
Yes. Those professions have their own rules (confidentiality, health data): keep client notes for organisation, with no health information.
Can clients cancel online?
Yes, from the link in their email, up to the notice you set (for example 24 hours before the session).
